JOB TITLE: Senior Vendor Relations Representative - Major Vendor Group

REPORTS TO: Manager, Vendor Relations

JOB SUMMARY:

The Senior Vendor Relations Representative is responsible for 10-12 of the top major vendor accounts with approximately $400M in purchases. The Senior Vendor Relations Representative provides assistance to the vendors and to our 750+ bookstores in regard to invoices, return discrepancies and vendor credits. The Senior Vendor Relations Representative is required to consistently maintain vendor accounts throughout the year by completing monthly reconciliations of the vendor statements according to a determined schedule and negotiating vendor settlements when appropriate. The Senior Vendor Relations Representative will be relied upon for data entry and to systematically match invoices to purchase orders and receipts. The Senior Vendor Relations Representative is required to have a strong understanding of the three way match process and have the ability to problem solve. The Senior Vendor Relations Representative is expected to be proficient with Excel Vlookup procedures and other PC matching tools developed to assist in reconciling vendor accounts.

ESSENTIAL FUNCTIONS:

  • Perform statement reconciliations for all assigned vendors as scheduled by the Manager

  • Follow-up consistently and thoroughly with assigned vendors, store personnel and the B&N Merchandisers

  • Work with large transaction files to reconcile and categorize complex vendor statements

  • Research and analyze open/skipped invoices, return discrepancies, misapplied cash

  • Data entry with a strong aptitude to problem solve

  • Investigate any potential duplicate vendor transactions

  • Assist in all fiscal year-end closing procedures as required by the Vendor Relations Manager

  • Assist Supervisor in training of Major Vendor Relation Representatives

  • Adhere to Barnes & Noble College Policies and Procedures

  • Perform other responsibilities as directed by the Vendor Relations Manager

REQUIREMENTS/QUALIFICATIONS:

  • Bachelor’s degree with 3 years relative experience

  • Proficiency in Excel in dealing with large transaction files, vlookups and pivot tables

  • Ability to answer telephones and assist callers in a clear, professional and understandable manner

  • Excellent communication skills
